Terms & Conditions
Last updated: 19 October 2026
These Terms & Conditions (“Terms”) apply to all bookings and services provided by Al Mukarmmah Travels (“we”, “us”, “our”), a UK-based Umrah travel agency. By making an enquiry, booking or payment with us, you agree to these Terms. Please read them carefully before booking.
1. Who We Are and How to Contact Us
- Email: contact@almukarmmahtravels.co.uk
- Phone / WhatsApp: +44 7474 892901
- Website: almukarmmahtravels.co.uk
Our full business details are provided on your quotation and booking confirmation.
2. Our Services
We arrange Umrah travel services, which may include flights, accommodation, ground transport, visa assistance and travel support. The exact services included in your booking will be set out in your written quotation or booking confirmation. Anything not listed there is not included.
Visa assistance: We guide you through visa requirements, documents and the application process. Visa approval is decided solely by the relevant Saudi authorities. We cannot guarantee that a visa will be granted, and we are not responsible for refusals or delays outside our control.
3. Quotations, Prices and Booking
3.1 A quotation is an offer based on the information you give us and the prices at the time. It is valid for the period stated on the quotation. Availability and prices may change until your booking is confirmed.
3.2 Your booking is confirmed only when we receive your deposit (or full payment) and we send you a written booking confirmation. A contract is formed at that point.
3.3 All prices are in pounds sterling (GBP) unless stated otherwise, and are per person unless stated otherwise.
3.4 The person making the booking (the “lead passenger”) confirms that they are over 18, have authority to accept these Terms on behalf of everyone in the party, and that all information provided is accurate.
4. Payment
4.1 A deposit is required to secure your booking. The deposit amount and the date the balance is due will be stated in your quotation and booking confirmation.
4.2 If the balance is not paid by the due date, we may treat your booking as cancelled and the cancellation charges in section 6 will apply.
4.3 For bookings made close to departure, full payment may be required at the time of booking.
4.4 We will confirm available payment methods when we send your quotation.
5. Changes Made by You
5.1 If you want to change your booking (dates, names, hotels, passengers), contact us as soon as possible. We will try to help but cannot guarantee that changes are possible.
5.2 Changes may incur an amendment fee, which we will tell you before making the change, plus any charges made by airlines, hotels or other suppliers. Some airline tickets cannot be changed or transferred.
5.3 Name changes on flight tickets are often not permitted once issued. Please make sure names match your passport exactly.
6. Cancellation by You
6.1 To cancel, you must notify us in writing by email from the lead passenger. The cancellation date is the date we receive your written notice.
6.2 Cancellation charges depend on how close to departure you cancel and on the costs already committed to airlines, hotels and other suppliers. The applicable charges will be stated in your quotation or booking confirmation. The deposit is non-refundable unless we state otherwise.
6.3 Charges are not refundable where services (such as airline tickets, hotels or visas) have already been issued or paid for and cannot be recovered from suppliers.
6.4 We recommend you take out travel insurance that covers cancellation (see section 12).
7. Changes and Cancellation by Us
7.1 We will do our best to provide the services booked. Sometimes we must make changes, for example due to airline schedule changes, hotel availability or operational reasons.
7.2 Minor changes (such as a small change in flight times or an equivalent hotel) may be made without compensation. We will tell you as soon as reasonably possible.
7.3 Significant changes: if we have to make a significant change before departure, we will offer you the choice to accept the change, accept a replacement of comparable standard, or cancel with a full refund of amounts paid to us.
7.4 Cancellation by us: we may cancel your booking for reasons outside our control. In that case we will refund all money you have paid to us for the cancelled services.
8. Visas, Passports and Travel Documents
8.1 You are responsible for making sure that you and everyone in your party hold valid passports (we recommend at least 6 months’ validity beyond your return date), the correct visas, and any health or vaccination certificates required.
8.2 Entry requirements for Saudi Arabia can change at short notice. Please check current requirements with official sources, such as the Saudi Ministry of Hajj and Umrah and the UK Foreign, Commonwealth & Development Office (FCDO) travel advice.
8.3 We are not responsible for refusal of entry, visa rejection or delays caused by incorrect or incomplete documents supplied by you.
8.4 If a visa is refused, supplier charges already incurred (including visa fees) are not refundable.
9. Your Responsibilities as a Traveller
You agree to:
- Provide accurate personal details and documents on time
- Arrive at airports and meeting points at the times given
- Respect local laws, customs and religious rules in Saudi Arabia
- Behave in a way that does not endanger or upset others
We may end your services without refund if your behaviour is, in our reasonable opinion, likely to endanger the safety or comfort of others.
10. Special Requests and Accessibility
Please tell us at the time of booking about any medical conditions, mobility needs or special requirements. We will pass requests to suppliers but cannot guarantee they will be met unless confirmed in writing.
11. Our Responsibility to You
11.1 We will take reasonable care in arranging your services. Where your booking is a package or linked travel arrangement, we accept responsibility in line with the Package Travel and Linked Travel Arrangements Regulations 2018, where these apply.
11.2 We are not responsible for loss, damage, delay or injury caused by: your own acts or omissions; third parties unconnected with the services; or “force majeure” events (unusual and unforeseeable circumstances outside our control, such as war, terrorism, natural disasters, epidemics, government action, strikes or airspace closures).
11.3 Nothing in these Terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else the law does not allow us to limit.
12. Travel Insurance
We strongly recommend that you take out comprehensive travel insurance at the time of booking. It should cover cancellation, medical expenses, repatriation and baggage. You are responsible for making sure your cover is suitable.
13. Financial Protection
Whether your booking is financially protected depends on the services booked. Before you pay, we will tell you in writing whether your booking is protected and by which scheme, and any protection certificate will be included in your booking confirmation. Please ask us if you are unsure.
14. Complaints
If you have a problem during your trip, tell us (and the supplier, for example the hotel) immediately so we can try to fix it. If it cannot be resolved, write to us at contact@almukarmmahtravels.co.uk within 28 days of returning home, giving your booking reference and details. We will acknowledge your complaint within 3 working days and aim to reply fully within 14 days.
15. Privacy and Data Protection
We collect and use your personal data as described in our Privacy Policy. By booking, you agree that we may share the necessary information with airlines, hotels, visa providers and authorities in order to fulfil your booking.
16. Website Use and Intellectual Property
All content on this website (text, images, logos) belongs to us or our licensors. You may not copy or reuse it without our written permission. We try to keep information accurate but do not guarantee that all content is complete or error-free. Prices and availability may change.
17. Changes to These Terms
We may update these Terms from time to time. The version in force at the time of your booking will apply to that booking.
18. Governing Law
These Terms and any dispute connected with them are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction, except that if you live in Scotland or Northern Ireland you may bring proceedings in your local courts.
